Job Title/Designation: Executive Assistant

Job Description:

·         The EAs role is to manage the Managing Director’s daily tasks and ensure that the Executive office functions smoothly. The candidate must demonstrate an ability to, be persistent with follow-ups, systematic in handling various tasks, meticulous in organizing paperwork and work with other members of the team. 

·         Conducting office administration meetings and initiating projects that will improve overall efficiency of the admin of the office.

·         Calendar Management - prioritizing, updating and ensuring that appointments do not coincide with each other and that time is managed in an efficient manner. Schedule meetings, set up audio visual or on-line meeting tools and events. Coordinate & ensure meeting logistics are in place.

·         Ensuring meetings are minuted and that relevant follow-ups and tasks that are derived from the same are completed.

·         Online Filing System and management of the paperwork, ensuring easy access to the same when required.

·         Automating certain routine functions and process documentation of the same.

·         Submission of EOD reports of all tasks assigned, work completed and conducted with other departments or personnel.

·         Follow up to ensure issue or question resolution. Track action items using a follow-up system, tool or process, communicate and report on status.

·         Perform general office duties such as greeting scheduled visitors and ordering supplies for MDs office.

·         Conducts research, and create original content and presentations from notes or from MD direction.

·         Handle HR related administrative tasks including time reporting, organization change requests, rewards and recognition forms, organization chart updates, emergency lists.

Minimum/Maximum/ Work Experience Required: 2-5 yrs

Annual CTC: Open to Discussion
