• Maintain the list of master files
• Allot document numbers / references numbers as per the required system
• Maintain log of inward and outward documents coming and going through all means
• Receiving the mails and documents and replying mails as per the instructions.
• Ticketing for labours, staff and directors after approval
• Manage / Change the booking as and when required.
• Online Check-In for the Directors and Staffs.
• Check baggage for the staff.
• Assign seats
• Confirm the flight timings for the Director 4 to 5 hours before departure.
• Trace lost, delayed or misdirected baggage for any if happens so.
• Drafting letters
• Provide offer letter or letter of intent and issuing appointment letter.
• Filing relevant documents of the new joinees.
• Applying Employment / Mission / Visit Visas.
• Time keeping for attendance and maintaining leaves / annual leave records.
• Keeping a track of the attendance.
• Filing the leave form and keeping track of the leaves taken.
• Receiving and sending quotations of technical departments
• Scheduling and arranging staff meetings, weekly meetings
• Maintaining minutes of meetings and distribution to various department
• Consolidating monthly advance report
• Arranging for Telephone, water electricity bill payments.
• Tenancy contract renewals of staff accommodation, labour camps, etc.
• Renewal of Insurance policies
• Daily filing work has to be up to date
• Maintaining log of keys of office premises, camps, sites and staff accommodation
• Maintaining the personal files of all staffs and labours
• Update the employee data for all requisite and important information such as passport, visa, labour card expiry / renewals. Contract details, memos, emirates ID renewals etc.
• Follow up of invoice submission with site in charge.
• Follow up of payment certificates with site in charge
• Coordinating for maintenance and repairs of the office and camps
• Coordinating with the drivers for allocation of duties as per the need.
• Keeping a track of the couriers send/received.
• Any other responsibility given as and when required.
